Terms for Preventative Maintenance, Tier 1, & Tier 2 Plans
Applies to Service Plans / Memberships purchased or renewed after March 1, 2026
- One preventative maintenance visit per heat pump annually (depending on plan type)
- Discounted service rates and/or reduced trip fees depending on plan tier
- Priority scheduling compared to non-plan customers
2. Preventative Maintenance Visits
Each Service Plan includes one preventative maintenance visit per heat pump per year.
Maintenance visits are intended to inspect, test, and maintain system components to support normal operation. Preventative maintenance may include inspection, cleaning, testing, and adjustment of system components.
Maintenance visits are typically scheduled during the following recommended service windows:
- Spring Service Window: April – May
- Fall Service Window: September – October
Scheduling flexibility may be available in shoulder months depending on technician availability.
Maintenance visits requested outside the recommended service windows, including during peak cooling or heating season, may be subject to peak-season pricing (currently $600) if the visit is not part of a scheduled Service Plan maintenance window.
Unused maintenance visits do not roll over to future years.
Customers are responsible for scheduling maintenance visits.
3. Service Pricing & Discounts
Service Plan members receive discounted trip fees and labor rates based on their selected plan tier.
Discounts apply only to standard service rates and may not apply to certain specialized services or third-party work.
Discounts apply only while the Service Plan is active and in good standing.
- Diagnostic services beyond standard maintenance inspection
- Repairs or replacement of system components
- Refrigerant services
- Electrical repairs
- System modifications
- Ductwork modifications or air balancing
- System redesign or performance adjustments
5. Loop System and Glycol Services
Ground loop systems require specialized maintenance separate from standard preventative maintenance.
The following services are not included in preventative maintenance visits, but may be performed at discounted Service Plan rates:
- Glycol adjustments (“glycol bumps”)
- Loop pressure adjustments
- Loop fluid testing or replacement
- Ground loop diagnostics or repair
Ground loop repairs or loop leaks are not covered under Service Plans.
6. Equipment Eligibility
Service Plans are available for geothermal heat pump systems installed by Dandelion Energy.
Systems must be in serviceable condition at the time of enrollment.
“Serviceable condition” means the system is structurally intact and capable of normal operation with standard repairs. Systems requiring replacement of major components such as compressors, heat exchangers, coils, or ground loop systems may not be eligible for enrollment until repairs are completed.
Enrollment in a Service Plan does not cover pre-existing conditions.
For properties with multiple geothermal heat pumps, all systems must be enrolled in the same Service Plan tier to receive Service Plan benefits.
7. System Performance Limitations
System performance is affected by many factors outside of Dandelion’s control, including:
- Outdoor weather conditions
- Home insulation levels
- Ductwork design and condition
- Thermostat settings and programming
- Electrical service
- Home construction and layout
Dandelion does not guarantee specific temperature performance, energy consumption, system runtime, or operating costs.
8. Third-Party Equipment & Installations
Dandelion is not responsible for system performance issues caused by equipment, ductwork, thermostats, or electrical components not installed by Dandelion or not covered under an applicable warranty.
9. Customer Responsibilities
Customers are responsible for:
- Scheduling maintenance visits
- Providing safe and reasonable access to all equipment
- Ensuring pets and obstacles do not interfere with service access
- Maintaining safe working conditions for technicians
Additional labor charges may apply if equipment access is restricted or conditions prevent safe service.
10. Service Availability
Service availability may vary depending on:
- Geographic location
- Technician availability
- Weather conditions
- Parts availability
Priority scheduling does not guarantee a specific response time.
11. Plan Term, Renewal, and Billing
Service Plans are billed annually unless otherwise stated.
Plans automatically renew each year unless cancelled prior to the renewal date.
Service Plan benefits apply only while the account is active and payments are current.
Failure to maintain payment may result in suspension or cancellation of Service Plan benefits.
12. Cancellation
Customers may cancel their Service Plan at any time by contacting Dandelion Energy.
Service Plans are sold as annual plans. Once a Service Plan term has begun, fees paid for the current term are non-refundable, even if the plan is cancelled before the end of the term. If a customer cancels their plan, Service Plan benefits (including discounted service rates and trip fees) will remain active until the end of the current billing term, after which the plan will not renew. Customers may also choose to opt out of automatic renewal at any time prior to the next renewal date.
Dandelion reserves the right to cancel or decline renewal of any Service Plan at its discretion.Cancellation requests must be submitted by email to support@dandelionenergy.com.
13. Limitation of Liability
To the fullest extent permitted by law, Dandelion Energy shall not be liable for any indirect, incidental, or consequential damages related to system operation, equipment failure, or service delays.
Dandelion’s total liability under this agreement shall not exceed the total amount paid for the Service Plan during the preceding twelve (12) months.
14. No Guarantee of Equipment Performance
The purchase of a Service Plan does not guarantee that equipment will not fail or require repair.
Service Plans are intended to support preventative maintenance and reduce service costs but do not eliminate the possibility of mechanical failure.
15. Changes to Terms
Dandelion may update these Terms & Conditions periodically. Updated terms will apply to Service Plan renewals.
